Social media refers to online platforms and applications that enable users to create, share, and exchange information, ideas, and content, and to engage in social networking. CCCC social media is used to connect with students, faculty, staff, and the community, reflecting the mission and guiding values of the college. This procedure ensures that any and all interactions on behalf of CCCC appropriately portray, promote, protect, and represent the Colleges best interests and adheres to federal, state, and local laws. Social Media accounts hosted or sponsored by the College are owned and monitored by CCCC and users should have no expectation of privacy. This policy applies to: All official College social media accounts hosted, sponsored, or affiliated with CCCC. Employees or studentswho create or manage social media accounts on behalf of the College. Employees who indicate institutional affiliation on personal social media activity/accounts. Account Approval Process: Review Policy Employees must review this policy prior to requesting an account. All official social media accounts and related content are the property of the College, not the personal property of individual employees. Request Authorization Submit a request to the Marketing & Communications Department. Accounts must be linked to a college-issued email address. Authorization Approval Employees authorized to host a college social media account must agree to abide by this policy. Login credentials and/or administrative access must be shared with the Marketing & Communications Department. College Social Media Accounts: When using College social media, employees are expected to: Comply with CCCC policies and procedures. Comply with federal, state, and local laws. Review the Colleges Social Media Guidelines, updated periodically with best practices. Only use CCCC logos, trade names, trademarks, or copyrighted material in compliance with College policies, procedures, and guidelines. Post activity that aligns with the Colleges mission and guiding values. Adhere to FERPA regulations protecting private student information. Refrain from supporting or advocating any political issue, cause, party or candidate. On personal accounts with institutional affiliation, personal opinions must be clearly identified as such. Actively engaging with users, monitoring conversations, and moderating inappropriate content. Responses must be professional and timely. Keep accounts active. Accounts with no activity for 30 days will be considered dormant. Administrators contacted about dormancy will have 30 days to reactivate the account before it is subject to deletion. Ensure that students permitted to contribute content or post directly to College accounts know they are expected to follow College policies and standards of conduct. Any student who posts inappropriate, offensive, or otherwise harmful content may be subject to review under the Student Code of Conduct. Consult with the Marketing & Communications Department if concerns arise about posted comments or content. Be aware that personal liability can be incurred for content posted or maintained by individuals on social media. Keep personal social media accounts separate from CCCC social media accounts. Campus Emergencies In case of an emergency on campus (such as campus closures, a natural disaster, or criminal activity): Accounts should defer to and activelyshare from CCCCs flagship account to deliver any messaging. Improper information during an emergency may directly conflict with law enforcement and/or endanger lives. During an active emergency, all CCCC social media accounts should pause any planned or scheduled posts. Personal Social Media Use Employees are free to use personal social media accounts but must avoid creating the impression they are speaking on behalf of CCCC. Personal accounts should not use College logos, branding, or official imagery without approval. Employees remain legally responsible for their personal online activity, including posts that are defamatory, harassing, or infringe on copyright. Personal accounts with institutional affiliation must clearly identify personal opinions as such. Employees must never share confidential or proprietary information. During emergencies, employees should not post unverified information about the College on personal accounts. Official updates will be provided by Colleges flagship account. Violations of Policy The College shall have the right to review content posted to any site maintained in the name of the College and may remove or cause the removal of any content that violates the policy or federal, state or local laws.
